2. Information We Collect

We may collect the following personal data:

  • Technical data: IP address, browser type, operating system, and browsing behaviour collected automatically when you visit our website.
  • Business contact data: your name, job title, organisation, work email address and work telephone number, and a record of any correspondence with you.
  • Client event data: where we work for an organisation on an event, the hotel contracts, booking reports, rooming lists and hotel bills it gives us, which may include the names of delegates.

Where business contact data comes from

We may contact people at organisations that run conferences and events, to introduce our services. We find their details in their organisation's own published materials, such as its website and event documents, or in Apollo.io, a business contact database. We do not use personal email addresses for this. If you would like to know where we found your details, just ask and we will tell you.

3. How We Use Your Data

We use your personal data for the following purposes:

  • To administer and improve our website.
  • To introduce our services to people at organisations that run events, and to reply to and keep a record of our correspondence.
  • To deliver services we have agreed with a client, under a written agreement.
  • To comply with legal obligations.

4. Lawful Basis for Processing

We process your personal data on the following legal bases under UK GDPR:

  • Legitimate interests: To operate and improve our website, and to contact people in their professional role about services relevant to their work, where this does not override your rights. You can object at any time and we will stop.
  • Contract: To deliver services we have agreed with a client.

5. Data Sharing

We do not sell your personal data. We may share data with:

  • Service providers: Website hosting (Cloudflare) and email (Google Workspace), who process data on our behalf under appropriate safeguards.
  • Legal requirements: If required by law, regulation, or legal process.

6. International Transfers

Some of our service providers (including Cloudflare and Google) may transfer data outside the UK. Where this occurs, appropriate safeguards are in place, including Standard Contractual Clauses and adequacy decisions.

7. Data Retention

We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. If we contact you to introduce our services and do not hear back, we delete your details within 12 months of our last message. If you ask us not to contact you again, we keep only your name and email address on a do-not-contact list, so that we respect your request. Client event data is kept for the period set out in our agreement with the client and then deleted.

Under UK GDPR, you have the right to:

  • Rectify inaccurate data
  • Request erasure of your data
  • Restrict or object to processing, including an absolute right to object to direct marketing
  • Data portability
  • Withdraw consent at any time

If you are unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Cookies are small text files placed on your device when you visit a website. This website does not use cookies. It loads no third-party resources of any kind, sets no cookies, and uses no analytics or tracking. Fonts are served from our own servers, so no data about your visit reaches any other company.

We do not currently use any analytics or tracking cookies.

You can control cookies through your browser settings. Nothing on this site depends on them, so disabling them will not affect how it works.
